Upgrading AgentOffice

If you are an existing user, you can upgrade your software to the latest version. You must install the upgrade on each computer where the program files (software) have been installed

Note – Due to new security requirements, AgentOffice data may no longer reside in the Program Files directory. If the upgrade determines your data is currently located in the Program Files directory, such as “\Program Files\AgentOffice\Data”, the upgrade will automatically move your data from the Program Files directory to the “\All Users\Application Data\AgentOffice” directory (exact path may vary depending on operating system and system user rights).

Regardless if the data is moved, the upgrade will automatically move the following items to the same “\All Users\Application Data\AgentOffice” directory (exact path may vary depending on operating system and system user rights):

  • Graphics directory
  • RetsPhotos directory
  • Olagnt32.ini
  • Hspell.hse
  • Hspell.hue

Upgrading Multiple Computers with Network

Due to new security requirements, AgentOffice data may no longer reside in the Program Files directory.

For users in a network environment, this may cause upgrading issues where multiple computers have access to one dataset and after upgrading the server the remotes may no longer have access to AgentOffice if the data has been moved.

Prior to upgrading AgentOffice on your network, make sure you do the following to assure the upgrade works successfully (we recommend you consult with your network technician prior to upgrading):

  • Note where the data is physically stored.
    • If the data is not stored in the Program Files directory, no network updates or configurations will need to be performed and you may continue with upgrade.
    • If the data is stored in the Program Files directory on the computer acting as the server, AgentOffice will move the data during the upgrade and the workstations will need to be updated to accommodate the data move. When the data is moved:
      1. Share the “All Users” directory on the computer acting as server or perform upgrade on the server and then share the “AgentOffice” directory created in the “All Users” directory when the data is moved.
      2. On each workstation where AgentOffice is installed, map a drive to the new share you created in the previous step.

    1. On the server or computer with data stored, perform the upgrade first. Before you install the upgrade, restart your computer. After your computer restarts shut down any programs that are running. Use Windows Task Manager to shut down programs that run in the background. Refer to your Windows documentation for help on using Task Manager.

If you are using Accusync, make sure you checkin all remote copies of the database prior to performing any upgrades. We recommend you upgrade the master database first, then upgrade each remote computer.

Note: Do not shut down Windows Explorer (may appear as “Explorer” in the Task Manager) when shutting down programs.

    2. Insert the installation CD into the CD-ROM drive. The installation wizard should appear automatically. If it does not, on the Start menu, click Run. In the window that appears, enter D:\Launch.exe (where D is the letter of your CD-ROM drive) and click OK.

If you have downloaded AgentOffice, locate the downloaded file on your computer or network and double click the file or select Launch.exe from the extracted folder.

    3. Click the Install tab. Then, click the Install AgentOffice option.
    4. On the Update screen, click Yes. (Selecting No will terminate the upgrade.)

    5. If your data currently resides in the Program Files directory, the upgrade will display message stating the upgrade will move your data and to where the data will be moved too. Click Yes to continue. (Selecting No will terminate the upgrade.)

If you are using Accusync, moving data should have no impact on your Accusync usage and configurations.

    6. On the Two Backup Copies Required screen, click Yes if you have made two backups of your data. If you have not made two backups of your data, click No, stop the installation process, and make two backup copies of your data before upgrading.

Note: Backing up your data is a security measure. We suggest you back up your data in the unlikely event that a problem occurs during the installation.

    7. On the Agent Setup screen, enter your serial number and installation code and click Next. These numbers can be found with the installation CD or in an e-mail you may have received from AgentOffice.
    8. On the Select Program Folder screen, click Next. The progress of the install displays on the Setup Status screen.

    9. When the upgrade completes, the system will display message stating the upgrade is completed.

    10. If you were prompted with message that data will be moved in step 5, thru My Computer browse to the location where the data was moved and share the “AgentOffice” or “All Users” directory. Make sure you provide sufficient access rights to read, write and delete files in the share. We recommend you consult with your network technician prior to performing such network tasks.

Microsoft Windows XP, Microsoft Windows 2000 and Microsoft Windows Vista users see different (but similar) options and commands than those in the instructions below. Information about the different options is provided when possible.
      To set up sharing
      1. On the Start menu, click Run. In the screen that appears, type explorer and click OK.

      2. Find the location of the drive where you installed the data in Step 1.
      3. Right-click on the folder where the data resides and click Sharing. (If Sharing is not an option, click Properties. Then, in the screen that appears, click the Sharing tab.)

      4. Select the Share As or Share this folder option. Do not change the name that appears next to the Shared As option or in the Share name field.
      5. You must now set the permissions for the folder to full (read, write, and execute access). The process for this varies by operating system so you should contact your network technician for help setting up permissions for the folder.
    11. Go to a networked or remote machine with AgentOffice installed (networked to server).
    12. If you were prompted with message that data will be moved in step 5 when upgrading the server, you must map a drive to the folder you just shared in step 10. We recommend you consult with your network technician prior to performing such network tasks. (Not recommended to use UNC network paths)

      To map a network drive
      1. On your Desktop, double-click on Network Neighborhood (or My Network Places).
      2. Double-click on the name of the computer where you installed the data in Step 1.
      3. Right-click on the shared folder and click Map Network Drive.

      4. In the screen that appears, make sure the network location you are mapping is the shared folder, and the Reconnect at Logon check box is selected and click Finish or OK.
    13. On the networked or remote machine with AgentOffice installed, insert the installation CD into the CD-ROM drive.

    14. Click the Install tab. Then, click the Install AgentOffice option.
    15. If the data has been moved during the upgrade of the server in step 5, the system displays message stating “Missing or invalid data directory”. To continue with option to select data, select Yes. (Selecting No will terminate the upgrade.)

    16. Select Browse… and go to the drive letter you mapped in step 12 and locate the “Data” directory. If the drive and folder is valid, the upgrade will allow you to continue by selecting “Next”. (If data cannot be located, the upgrade will not continue.)

    17. Select Next to continue with upgrade.
    18. On the Update screen, click Yes. (Selecting No will terminate the upgrade.)
    19. On the Agent Setup screen, enter your serial number and installation code and click Next. These numbers can be found with the installation CD or in an e-mail you may have received from AgentOffice.
    20. On the Select Program Folder screen, click Next. The progress of the install displays on the Setup Status screen.
    21. When the upgrade completes, the system will display message stating the upgrade is completed. Repeat steps 11 through 21 to upgrade additional networked machines.
